Since 2015, Uppsala municipality has had a central registration unit that is part of the secretariat department. Within the department, we are responsible for supporting the entire municipal group by coordinating, assisting, and creating conditions for administrations, municipal companies, and elected officials. We have the strategic responsibility to create a forward-looking and efficient information management that promotes a democratic society with accessible information. The department is organized into five units: the registration unit, the committee secretariat unit, the external relations and management support unit, the legal unit, and the city archive. Our workplace is in Uppsala municipality's city hall, and we work based on an activity-based working method.

Within the registration unit, we are just over 30 qualified and engaged employees. We are now looking for two new colleagues. Your Mission

In the registration unit, the registrar's main task is to manage and evaluate information and ensure the quality of metadata in the municipal joint case management system. As a registrar, you are an important support function and have a clear own responsibility within your assignment. The work includes, among other things, record keeping, case management, handling requests for public documents, confidentiality assessments, and managing mail and functional mailboxes.

You will also provide support to the operations regarding information management, including how to read and interpret information management plans, as well as provide training, advice, and support to case officers and managers. As a natural part of the work, you will have contact with the municipality's residents, which usually occurs via email or phone.

Your Background

We are looking for someone with education in archival and information science, registrar training, or other work experience that the employer deems relevant for the position. The position requires several years of experience working with registration in public operations, as well as experience handling requests for public documents and working with laws such as GDPR, the Archives Act, and the Public Access to Information and Secrecy Act. The work also requires that you can communicate fluently in Swedish, both spoken and written. To succeed in the role, you need to have good knowledge of information security, document and case management systems, and very good skills in Microsoft 365. It is also an advantage if you have knowledge of Public360.

As a person, you are flexible and have the ability to see opportunities in changes. You take the initiative and start activities to achieve results. Furthermore, you have good collaboration skills and relate to others in a responsive and smooth manner. You also have the ability to see the big picture and view issues from a broader perspective. Last but not least, you are good at structuring, planning, and prioritizing your work.

The positions are placed in a security class, and a security review with accompanying background check will therefore be conducted before employment.

Employment can only occur after verification of the work permit, which is required according to the Aliens Ordinance.
